Who We are Looking For
The Events Coordinator will work closely with the Director of Events to support the planning and execution of ACORE conferences, meetings, and special events, both virtually and in person. The successful candidate will be a detail-oriented, proactive self-starter with strong organizational, communication, and customer service skills, eager to contribute to a mission-driven team advancing clean energy.
Key Job Duties
Coordinate event production and delivery in partnership with the Director of Events and our external vendors, venues, and event partners.
Serve as the primary point of contact for event attendees, providing timely and accurate information before, during, and after events.
Support the Corporate Engagement team by tracking sponsor deliverables and helping ensure sponsorship commitments are fulfilled.
Manage the events email inbox and ensure prompt resolution of all event-related inquiries.
Manage the production of ACORE webinars and recordings using Zoom and related platforms.
Coordinate with the Senior Marketing Manager to ensure events are promoted effectively across relevant channels.
Assist with speaker logistics, including scheduling prep calls, preparing briefing materials, and drafting thank-you correspondence.
Lead event setup, inventory management, and attendee check-in onsite at ACORE events.
Proactively troubleshoot and resolve issues before and during event day.
Own event registration tools and software; maintain accurate attendee data and reporting.
Support HubSpot data hygiene and contact management as it relates to event audiences and communications.
The Must-Haves:
Bachelor’s Degree with 1-3 years of relevant work experience.
Strong organizational and project management skills with the ability to prioritize multiple projects at once.
Ability to work both collaboratively with a team and independently with little supervision.
Excellent interpersonal skills and ability to remain calm and solutions-oriented under pressure.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Zoom and event registration platforms preferred; familiarity with HubSpot/Cannolai a plus.
This role requires occasional night and weekend work as well as travel for ACORE events.

Compensation: $52,000-$62,000
