Who We’re Looking For:

We seek a talented, highly motivated executive assistant for the president and CEO. This role will ensure the smooth operation of the CEO’s office. The person will require high professionalism, discretion, and critical thinking. They will handle highly sensitive information, manage multiple complex projects, and communicate with internal and external stakeholders on the CEO’s behalf.

The ideal candidate will be proactive, strategic, and able to prioritize effectively in a fast-paced environment. The salary range is between 60k and 70k.

What You’ll Do:
 
  • Manage the CEO’s complex calendar and schedule and communicate updates and support needs to relevant internal stakeholders
  • Draft, edit, and proofread correspondence on behalf of the CEO and handle all communication (email, calls, messages).
  • Ensure the CEO and executive team members are well prepared for meetings, confirming technology, agendas, briefing materials and presentations are provided in advance.
  • In coordination with team members, develop backgrounders and briefing materials to prepare for meetings.
  • Coordinate all travel logistics for the CEO, ensuring smooth execution of both domestic and international trips. Prepare detailed travel itineraries, including arranging accommodations, transportation, and ensuring all necessary documentation is secured.
  • Oversee the CEO’s expense reporting and timesheet submissions, ensuring accuracy, compliance, and timely processing.
  • Manage and coordinate meetings and travel for other members of the executive team as needed.
  • At the direction of the CEO and EVP, Corporate Engagement provide administrative support to ACORE’s Board of Directors meetings and activities

  • Operates with a strong sense of urgency and execution—thrives in a high-performance, deadline-driven environment.
  • Discreet and trustworthy when handling highly sensitive information; a proven record of sound judgment and confidentiality.
  • Strong technological, organizational and time-management skills with the ability to manage competing demands without dropping the ball.
  • Polished communicator with the confidence to engage on behalf of the CEO with high-level stakeholders.
  • Detail-obsessed and committed to delivering seamless, high-quality work under pressure.
  • Self-starter who can work independently while contributing to a collaborative team culture.
  • Bachelor’s degree.
  • Minimum of 4 years of experience supporting senior executives or C-suite leaders in a fast-paced environment.
