ACORE Coordinator, Member Services

WASHINGTON, DC
Full Time
Entry Level

Who We Are:
ACORE is a nonpartisan nonprofit organization that operates at the intersection of affordability, reliability, and clean energy deployment. Our work is focused on stabilizing energy prices, strengthening the electric grid, and driving investment in cost-effective technologies to ensure that clean energy delivers for people, businesses, and the U.S. economy.

 Who We’re Looking For:
The Coordinator, Member Services keeps ACORE’s membership and sponsorship operations running smoothly behind the scenes. This role owns the systems, data, and workflows that support our corporate members and sponsors — from HubSpot and our association management system (AMS) to invoicing, renewals, benefit fulfillment, and reporting.

The ideal candidate is organized, process-minded, and energized by making systems work: someone who spots a broken workflow, fixes it, and documents it so it stays fixed. By keeping data clean and operations on schedule, the Coordinator frees the Corporate Engagement team to focus on building relationships and growing revenue.

What You'll Do
Systems & Data Management

  • Serve as the Corporate Engagement team’s day-to-day administrator for HubSpot CRM and ACORE’s association management system (AMS), keeping member, sponsor, and partner records accurate, complete, and current.
  • Monitor integrations between HubSpot, the AMS, and Sage Intacct; troubleshoot sync issues, submit and track vendor support tickets, and escalate recurring problems.
  • Ensure membership status, tier, and benefit eligibility are correctly assigned to every contact at a member company, and audit records regularly to catch errors early.
  • Own data governance for Corporate Engagement: maintain field standards, naming conventions, and required fields, and lead routine data cleanup, deduplication, and list hygiene.
  • Build and maintain the lists, segments, and properties that power member communications, event invitations, and renewal campaigns.

Membership Operations
  • Manage the renewal and invoicing cycle end to end: generate invoices on schedule, track open receivables, send payment reminders, and reconcile payments with the Finance team.
  • Process new member onboarding, including company and contact setup, benefit assignment, portal access, and welcome materials.
  • Track benefit and sponsorship fulfillment (event passes, recognition, council seats, deliverables, and deadlines) and flag unused benefits to the Senior Manager and Director.

Member & Sponsor Service
  • Serve as the first point of contact for operational member and sponsor requests (portal access, invoices, rosters, benefits, and account updates), acknowledging every request within one business day.
  • Resolve issues fully rather than just passing them along: follow each request through to completion, keep the member informed along the way, and confirm that the problem is solved.
  • Anticipate member needs by flagging upcoming renewals, unused benefits, or account problems before members have to ask.
  • Communicate in a warm, professional, and clear way, adapting technical explanations for busy executives and their staff.
  • Treat every interaction as part of the member experience, knowing that accurate invoices, working logins, and correct benefits are what members notice first.
  • Track recurring questions and pain points, share them with the team, and help develop FAQs, templates, and fixes that prevent repeat issues.
  • Route relationship, upgrade, or sponsorship opportunities raised in service conversations to teammates promptly, with the relevant context attached.

Reporting & Process Improvement
  • Produce regular dashboards and reports on membership, renewals, retention, pipeline, and revenue for the Corporate Engagement team and leadership.
  • Document standard operating procedures for core workflows and keep them current as systems change.
  • Identify manual work and bottlenecks that can be automated or simplified, and recommend and implement improvements.
  • Support testing, configuration, and rollout of new tools and features, including training colleagues on how to use them.

Cross-Team & Organizational Support
  • Partner with the Events, Communications, Policy, and Finance teams so member data, invitation lists, and RSVPs flow accurately between systems.
  • Provide on-site support before, during, and after ACORE events, including registration and attendee data capture.
  • Share responsibility with other coordinator-level team members for greeting visitors, front desk operations, and mail distribution during office hours.

The Must-Haves:
  • Systems Savvy. Hands-on experience administering HubSpot, Salesforce, or another CRM; experience with an association management system or integrated platforms is a plus. You’re the person colleagues come to when something isn’t working.
  • Data Discipline. You care about clean records, consistent standards, and getting the numbers right the first time.
  • Process Orientation. You like building checklists, workflows, and documentation, and you follow through until a process runs on its own.
  • Problem Solving. You troubleshoot methodically, ask vendors the right questions, and stay persistent until issues are resolved.
  • Reliable Follow-Through. You manage recurring deadlines (renewals, invoices, reports) without letting anything slip.
  • Service Mindset. Our members are our most important partners. You take ownership of their requests, respond promptly and courteously, stay patient when things go wrong, and take pride in solving problems the first time.
  • Clear Communication. You can explain a technical issue to a non-technical colleague or member clearly and courteously.
  • Spreadsheet Skills. Proficiency in Excel or Google Sheets (lookups, pivot tables); familiarity with invoicing or accounting systems such as Sage Intacct is a plus.
  • 2+ years of experience in operations, CRM or database administration, membership services, or a related field.

The Perks of Working at ACORE:
  • Competitive salary.
  • Robust health care options.
  • Generous vacation policy with 15 vacation days in your first year.
  • 11 federal holidays, plus the week between Christmas and New Years.
  • Paid parental leave.
  • Hybrid work schedule with three days a week in office in Washington, DC.
  • 401(k) retirement plan that includes an employer contribution.
  • Educational assistance program.
  • Talented team members who care deeply about our mission and one another.

Salary: $60,000-$70,000
